Care: the rota has to hold, and the record has to stand up
Nights, weekends, sleep-ins, agency cover and a legal duty to have enough people on the floor. Care rotas fail in the same two places every time: the rest period, and the record when somebody asks to see it.
Rest periods that are genuinely checked
Eleven consecutive hours in each 24-hour period for adults (regulation 10(1)), 24 hours’ uninterrupted weekly rest or two such periods a fortnight (regulation 11), and an uninterrupted 20-minute break once the day exceeds six hours (regulation 12). On a rota with nights and early handovers, these break quietly and repeatedly.
The checks run against the person across sites and across the whole rota, not per building and not per week in isolation. Where a limit is about to break, it says so while you are still planning.
Nights, weekends and premiums
- A shift crossing midnight stays one shift, counted where it started.
- Night, Sunday and public-holiday premiums calculated on the hours actually worked, with the night window set to your own agreement.
- Agency and bank staff clock the same way as everyone else, so the hours are in one record rather than two.
A record that survives being read
- Hours per person per day with breaks, exportable per person and per period.
- Every correction carries who, when and why, with the original kept beside it — nothing is silently rewritten.
- Month-end close, after which a month cannot be quietly edited.
- Employee representative role with its own defined access.
Health data deserves its own line: sickness is recorded as absence, and the AI assistant never touches health data.

Questions we get
Can it handle night shifts crossing midnight?
Yes. A shift from 20:00 to 06:00 is one shift, counted on the day it started, with the night premium applied to the hours that fall in the night window you define.
What about staff working at several homes?
Each site can have its own terminal and its own staffing levels, and a person can be rostered across sites. The rest checks look at the person, not the building, which is the only way an eleven-hour rest means anything.
Do we still need paper for inspections?
You can produce the record in a form you can hand over, per person and per period, with the audit trail showing every correction and who made it. Whether that satisfies a given inspection regime is a question for that regime, not for us.
