The office: flexitime that follows your policy, not ours
An office is the one place where we will tell you that you might not need this. Here is when that is true, and when it stops being true.
When a small office genuinely does not need a clock
Since 1 January 2024, regulation 9(3) of the Working Time Regulations says an employer need not record each worker’s daily hours where compliance can be demonstrated without doing so. A ten-person office on fixed salaried hours, with an opt-out register and a holiday system, can often demonstrate exactly that. We would rather say so than sell you something you do not need.
When it stops being true
- Overtime that anyone might later claim for. Without a record, the dispute is one person’s memory against another’s.
- Time off in lieu. A balance nobody can see is a balance everyone remembers differently.
- Irregular-hours or part-year staff, where holiday accrues at 12.07% of the hours worked in each pay period.
- Anyone near the minimum wage, where the record has to stand for six years.
- Hybrid teams, where the informal evidence that someone was here has simply gone. More on that.
Flexitime as you actually run it
- An hours account with a daily corridor — core hours in, the rest flexible.
- Rounding rules, a cap on the balance and a carry-over rule, set to your own agreement rather than to ours.
- The averaging window from your policy, and the balance visible to the person whose balance it is.
- Time off in lieu booked like holiday, against a figure everyone can see.
What we do not do
No screenshots, no activity scoring, no keystroke counting, no continuous location. Several vendors in this market sell all four. An office team that feels watched gives you worse work and a worse record, because people quietly stop clocking accurately.
Price
Free up to 3 employees. Above that the base plan covers clocking, records and holiday; the flexitime module is €5 a month up to 5 people and €17 up to 30. All prices.
Questions we get
Do we have to record hours for salaried office staff?
Since January 2024, regulation 9(3) says you need not record each worker’s daily hours if you can demonstrate compliance without doing so. For a small office on fixed hours, that may well be the case. Where it stops being the case is minimum wage, irregular hours and any dispute about overtime. The detail.
Will this feel like surveillance to the team?
That depends entirely on what you switch on. There are no screenshots, no activity scores and no continuous location here, because we do not build them. What each person gets is their own hours and their own balance, which is usually the first time they have been able to see it.
Can we run proper flexitime?
Yes, with the flexitime module: an hours account with a daily corridor, rounding rules, a cap on the balance and the averaging window from your own agreement. The point is that the software follows your policy rather than imposing one.
