What belongs on a timesheet
At a minimum: the start, the end and the duration of each day’s work, with breaks separated out so the net hours are visible. That is what makes a record "adequate to show whether the employer has complied" under regulation 9(1)(a) of the Working Time Regulations 1998, and it is also what a minimum wage check needs, since the hourly rate is pay divided by hours.
Regulation 9(2) lets you keep it in whatever format you reasonably think fit — paper, spreadsheet or software. There is no prescribed form in Great Britain. In Ireland there is: where there are no clocking-in facilities, SI 473/2001 prescribes Form OWT 1. The whole picture.
Where a spreadsheet stops being enough
- It cannot prove it was not edited. A cell changed three months later looks exactly like a cell filled in on the day.
- Someone has to type it up, usually from memory, usually on a Friday.
- It does not warn anyone about a missed break or a short rest period while there is still time to fix it.
- It does not add up across people without somebody consolidating twenty files.
For a handful of people with steady hours, none of that may matter. Past that, it starts to.

Is the timesheet generator free?
Completely, and there is nothing to sign up for. You type the times in and download the result as a PDF, an Excel file or a CSV. No registration, no e-mail address.
Is my data sent anywhere?
No. It all runs in your browser. The names and times never leave your device — nothing is sent to a server and nothing is stored. Reload the page and the fields are empty again.
Can I keep working on it in Excel?
Yes, properly: the .xlsx file contains formulas, not fixed numbers. Change a time or a break and the daily hours, the monthly total and the difference against contracted hours all recalculate. It opens in Excel, LibreOffice and Google Sheets.
Is a spreadsheet enough to keep records?
For a small team with steady hours, it can be — regulation 9(2) lets you keep records in any format you reasonably think fit. What a spreadsheet cannot give you is an audit trail: there is no way to show that a figure was not changed afterwards. That is the point where people move to something that logs its own corrections.
